Executive Assistant to the President and CEO

Reporting directly to the President and CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The Executive Assistant serves as the primary point of contact for internal and external matters pertaining to the Office of the President and CEO.

Duties and Responsibilities:

Scheduling of meetings and oversight of calendar items for the President and CEO
Maintain calendar - resolve schedule conflicts, prioritizing meetings and appointments, communicating requests or changes to the appropriate individuals
Answer incoming calls and provide support as required by taking detailed messages that allow the executive to respond effectively
Identify, prepare, and compile necessary materials to ensure that the CEO has appropriate information for meetings, reports, presentations, events, and special projects
Be proactive, ability to think ahead to anticipate needs and requests of the CEO
Prepare and submit all expense reports on a timely basis, following up on discrepancies and missing receipts to maintain current balances
Anticipate and manage the CEO’s preparation for meetings and events in collaboration with senior management, often by drafting memos on a variety of issues, policies, and partnerships
Support the CEO in prioritizing and ensuring completion of next steps after meetings and calls
Plan and organize travel arrangements, dealing with necessary changes/adjustments to the itinerary, and preparing related expense reports
Able to work well remotely with CEO when they are traveling
Reception of visitors to executive office
Handle other organizational matters as directed by President and CEO   
Maintain conference room calendar
Maintain and keep all social media accounts up to date

Requirements:

Extremely strong written and verbal communications skills
Highly organized, with excellent project management skills
Able to work independently, conduct research and relay information
Proven ability to manage and prioritize multiple tasks simultaneously, meet deadlines, and consistently deliver high quality results
Proficiency with all Microsoft Office products and other information systems
Strong interpersonal skills
